Introduction to Google Drive lessons

Dear Students,

This course has been designed and developed to teach you basic skills on how to use Google Drive and its services for creating documents, uploading files and share your resources with other people.

It covers only the most important functions and services that Google Drive provides. If you want to advance your knowledge and learn Google Drive in depth, I recommend you to consider some advanced courses which are available from various educational institutions and training providers.

Please note:
To complete your assignments you have to be registered for this course. Please, contact your tutor to receive an email address for submitting your assessments. All assessments require you to share your work activities with the tutor.

Lesson 7. Upload files to Google Drive

In this lesson you will learn how to upload files and folders from your computer to Google Drive.



Activity
  1. Open Google Drive.
  2. Create a new folder and name it "Lesson7_Your name".
  3. Upload a file (photo or document) from your computer to Google Drive.
  4. Place this file into your new folder.
  5. Share this folder with the tutor.
  6. Make sure that your tutor can view this file.

Assessment

Send a message to the tutor from your Google email with the link to your folder and its contents.

Lesson 6. Create folders in Google Drive

From the previous lessons you have learned how to create text documents, presentations and spreadsheets in Google Drive.

In this lesson you will learn how to create folders and organise your documents.

To create a new folder in Google Drive you have to click on the Create button and select ‘Folder’ from the drop down menu.
Enter a name for your folder in the New Folder field and click Create button.
Your folder will appear in the Google Drive among other documents (files) and folders.
 

If you wish to move a single file or group of files to this folder, you can do this by following the steps below:
1.    Select a file of group of files
2.    Click on the Move To button at the top of the screen


OR, click on the More button and select Move To from the drop down menu.
 

3.    Select your folder and click on the Move button

Your file(s) will be moved to the folder you have specified. If you click on it, you will see all your files are there.

You can move them back to the Google Drive “root” directory by selecting them and clicking on Move To button again. Then, select ‘My Drive’ as a destination and click the Move button.

Please note: if you want to select all files you can tick the check box next to the Title.


Tip: there are a few other useful functions under the More button. You can rename your folders and files, download them etc. Feel free to explore.

Activity
  1. Open Google Drive.
  2. Create a new folder.
  3. Change folder name to “Lesson6_Your name”.
  4. Move file “Lesson5_Your name” to the folder “Lesson6_Your name”.
  5. Share your folder “Lesson6_Your name” with the tutor.

Lesson 5. Create a spreadsheet document in Google Drive

In this lesson I will show you how to create a spreadsheet document in Google Drive which is very similar to creating a text document.

I believe that you already know how to log in to your Google Drive.
If you are still struggling with this part, please check the previous lessons or ask your tutor for help.

Creating a new spreadsheet document

When you open Google Drive, you will see a "Create" button on the left. This button allows you creating different types of documents, including spreadsheet. Click this button and choose "Spreadsheet" from the drop down menu as shown on the image below.



You have just created a new spreadsheet document.

As you remember from the previous lessons, I always suggest changing the name of the new document from the default one to something more meaningful.

If you are not sure how to change the name of the document, please refer to Lesson 2 and Lesson 4.



Once you have set the name, you can start adding your content and editing it in a similar way as in Microsoft Excel or other spreadsheet editors. In this example I’m going to create a spreadsheet with the information about cars. This information will include: car model, year, kilometres, fuel type, engine cc, transmission and price.

The final result is shown on the image below.


When you finish with creating and editing your spreadsheet, you can return to Google Drive home page by clicking on the green spreadsheet icon in the top left corner.

Downloading a spreadsheet document to your computer

To save the document to your computer:
1. Select a spreadsheet document
2. Click More button and select Download link from the drop down menu
3. Select the file format you would like to save the document in (Microsoft Excel or PDF)
4. Click Download button to download the file to your computer

Sharing spreadsheet document with others

To share the document with others:
1. Select the spreadsheet document
2. Click Share button (or click More button and select Share form the drop down menu)
3. Change the visibility and access options to choose who can access your spreadsheet
4. Invite people by sending them a link to this document

Activity
  1. Open Google Drive.
  2. Create a new spreadsheet document.
  3. Crete a table with the following columns: Student name, Class, Subject, Grade.
  4. Use fake student names, classes etc. to create at least 3 rows of data.
  5. Change file name to “Lesson5_Your name”.
  6. Share your spreadsheet with the tutor.
  7. Select permission that allows reading the document only.

Assessment

Send a message to the tutor from your Google email with the link to your spreadsheet.

Lesson 4. Create a presentation in Google Drive



Activity
  1. Log in to your Google account.
  2. Open Google Drive.
  3. Create a new presentation with at least 3 slides. You can choose any topic you like.
  4. Add at least 1 image into your presentation.
  5. Change file name to “Lesson 4_Your name
  6. Share your presentation with the tutor.
  7. Select permission that allows reading the document only.

Assessment

Send a message to the tutor from your Google email with the link to your presentation.

Lesson 3. How to share documents (files) in Google Drive


Activity
 
Log in to your Google account.
Open Google Drive.
Select the document you have created in the previous lesson (Lesson 2).
Share this document with anyone who has got a link.
Change permission which allows reading, commenting and modifying the document.

Send a message to the tutor from your Google email with the link to your shared document.
